OFFICE MANAGER

Job Description

The church Office Manager combines the duties of receptionist, office administrator, communications minister, and pastoral assistant, welcoming members and visitors, preparing worship materials, coordinating the office affairs of the church, and assisting the pastor in carrying out the mission of St. John’s Lutheran at Stone Bank.

Supervisor: Congregational Pastor

Position: 4 hours/day, 16 hours/week

Responsibilities

  1. Joyfully promote the mission of St. John’s at Stone Bank, a congregation of the ELCA
  2. Work cooperatively with other staff members, congregational leaders, and volunteers
  3. Maintain strict confidentiality around information and set appropriate relational boundaries

Qualifications

  1. Excellent verbal, written, and media skills.
  2. Excellent computer skills including proficiency in Desktop Publishing, Microsoft Office Suite, and the management of websites and social media. The ability to work with data bases a plus.
  3. Knowledge of faith-based organizations and the liturgical calendar.
  4. Competence in the use and maintenance of office machines including copying and scanning.

Essential duties

  1. Welcome and assist visitors.
  2. Manage all church communication including phone, email, mail, outdoor sign, bulletin boards, website and social media.
  3. Produce, maintain, edit, publish and electronically save documents related to church business, including:

--Weekly Leader’s Guide for worship

--Weekly worship service bulletins

--Weekly music program for the pianist or organist.

--Weekly lessons for Readers, and hymns and order of service for musicians

--Monthly newsletter and church activity calendar

--Electronic saving and publishing of the church council minutes.

--Annual congregational reports

--Church correspondence

--Membership directory

4. Document and record Liturgical Actions in church books of records and to the Synod, if required:

--Pastoral acts

--Membership gains and losses

--Confirmations

--Baptisms

5. Monitor church supplies, and submit orders for materials and servicing, including:

--Office supplies

--Kitchen supplies

--Cleaning supplies

--Worship related supplies

6. Schedule services for the church as directed by the pastor and or council, including:

--piano tuner

--supply pastors and musicians

--elevator inspection

--furnace repairs

7. Maintain office equipment

--copier

--humidifier

--computer, including periodic backup

8. Finance support

--process bills and receipts under the direction of the Church Treasurer

--process offerings and donations in collaboration with the Finance Secretary

9. Attend weekly meetings with the pastor

10. Participate in job performance review with the pastor and/or Council leaders annually.

Pay Range: $15-20/Hour
